PRIVACY AND COOKIES POLICY

Race and Rally Supplies (Motorsport) LTD ("we", "our", "us") is committed to protecting your privacy. This policy explains how we collect, use and protect your personal data when you use our website (www.racerallysupplies.co.uk and https://rrs-store.co.uk/), our mobile app, our chat, or contact us.

INFORMATION WE COLLECT
Identity and contact: name, address, email address, phone number.
Order and payment: what you buy and where it is delivered. Card details are taken by our payment providers, not stored by us.
Account: your Shopify customer account, order history and addresses.
Vehicle and build information (only if you use the app's My garage): your vehicles' names, makes, models, years, specifications, engines, modifications, motorsport use and notes, any registration plate or competition number you choose to add, your build lists, and reminder dates you set.
Your offers choice (only if you use the app): whether you have switched on "Offers on my list", with the date and the wording version you agreed to.
Quotes: if we prepare a quote for you, its items, prices and total.
Messages: what you send us by email, the contact form, chat or the app's "Ask us" buttons.
Technical: IP address, browser type and version, time zone, operating system and device.
Usage: how you use our website and app.
Marketing: your preferences for receiving marketing from us.
HOW WE USE YOUR INFORMATION
To provide our service: processing orders, delivery, payments, returns and customer support.
To run My garage and build lists, if you choose to use them.
To show you any quote we have prepared for you.
To improve our website, app, stock and range. This includes looking at which products appear on wish lists and build lists across all customers, in a combined form that does not identify anyone.
To communicate with you about your orders and answer your enquiries.
For marketing: only if you have agreed to receive it, or, for existing customers, about similar products where you were given a chance to opt out. If you switch on "Offers on my list" in the app, we will also use the products on your build lists to choose which offers, price drops and stock updates to email you.
To meet our legal and regulatory duties.
We do not make automated decisions about you that have legal or similarly significant effects.
WHY WE MAY USE IT (LEGAL BASIS)
To carry out a contract with you.
Our legitimate interests in running and improving our business, including combined analysis of wish lists that does not identify anyone, where your rights don't override them.
Your consent, where you have given it: for marketing emails, for "Offers on my list", and for non-essential cookies. You can withdraw consent at any time.
To comply with the law.
OUR MOBILE APP
When you use our app, everything in this policy applies, including how we handle orders, payments and your account.
Signing in: you sign in with your email address and a one-time code sent by Shopify. We never see or store a password.
My garage: your garage and build lists are saved on your customer record in our Shopify account. We use them to provide those features to you. When you use "Ask us" or "Email this list", the draft email contains what you see in it, and never your registration plate. You choose whether to send it.
Offers on my list (optional): this is switched off unless you switch it on. If you do, we may use the products on your build lists, and nothing else from your garage, to choose which offers to email you. We may add a label to your customer record in our shop, for example naming a product on your list, so that we can choose those emails. We never use your registration plate, notes or diary for marketing. You can switch it off at any time in My garage in the app. When you do, we stop using your lists for offers and remove any labels we added for that purpose. Every marketing email also has an unsubscribe link.
Quotes and invoices: if we send you a quote, you can see it and pay it in the app. It is also emailed to you.
Build diary: diary notes and photos stay only on your own phone. They are not uploaded to us or backed up, so they are lost if you clear your browser data or change phone.
Order lines: when you add parts to your basket from a build list, the car's name is attached to the order line so you and our team can see which car it was for.
Stored on your device: the app keeps small amounts of data on your phone to keep you signed in, remember your basket, remember the last menu it loaded, and keep your diary. The app needs these to work.
Hosting: the app is delivered through Cloudflare, which may process technical data such as your IP address to deliver it.
CHAT
Our chat is provided through Shopify Inbox. Messages may first be answered by an automated AI assistant provided by Shopify, and passed to our staff when needed. AI answers are not always accurate, so please check important details such as whether a part fits your car. Please don't put card details or passwords in a chat.
COOKIES AND SIMILAR TECHNOLOGIES
Cookies are small files stored on your device. We also use similar technologies, such as your browser's local storage, which our app uses.
Essential: needed for the site and app to work, for example to remember your basket, keep you signed in, process checkout and keep our site secure. These don't need your consent.
Analytics and performance: help us understand how the site is used. We only use these if you agree.
Marketing and advertising: used to show relevant adverts and measure them. We only use these if you agree.
You can change or withdraw your cookie choices at any time using the cookie settings on our website or in your browser settings. Blocking essential cookies may stop parts of the site working.
SHARING YOUR INFORMATION
We may share your personal data with:
Service providers acting on our behalf: Shopify (our online shop platform), payment providers, delivery and courier companies, IT, hosting and review providers.
Business partners, only for joint marketing you have agreed to.
Legal authorities, if the law requires it or to protect our rights, property or safety, or those of our customers.
Another business, if we are involved in a merger, acquisition or sale of assets.
We don't sell your personal data.
TRANSFERS OUTSIDE THE UK
Some of our providers are based outside the UK. Where your data is sent outside the UK, we make sure it is protected by approved safeguards.
DATA SECURITY
We use appropriate technical and organisational measures to protect your personal data from loss, misuse, unauthorised access, disclosure, alteration and destruction.
HOW LONG WE KEEP IT
We keep your personal data only as long as needed for the purposes we collected it for, including legal, accounting and reporting needs. Garage data, including your offers choice and its date, is kept until you delete it or your customer record is deleted.
YOUR RIGHTS
You have the right to:
Access your personal data.
Correct inaccurate or incomplete data.
Ask us to delete your data.
Ask us to restrict how we use it.
Ask for your data to be moved to another provider.
Object to us using it for particular purposes, including marketing.
Withdraw consent at any time, where we rely on it.
You can delete your vehicles, build lists and diary, and switch off "Offers on my list", in the app at any time. To use any other right, email info@racerallysupplies.co.uk. We will normally reply within one month.
If you are unhappy with how we use your data, you can complain to the Information Commissioner's Office (ico.org.uk). We'd appreciate the chance to put things right first.
CHILDREN
Our website and app are not aimed at children under 18, and we don't knowingly collect their data.
LINKS TO OTHER SITES
Our website may link to other sites, such as social media. We don't control them and aren't responsible for their privacy practices.
CHANGES TO THIS POLICY
We may update this policy from time to time. The latest version will always be on this page, and we will tell you by email if there are important changes.
